Tigers in Town is Coming to a Student Group Near You!

Tigers in Town is an initiative to help students connect with the local Princeton community while supporting small businesses that have been impacted by the pandemic. The USG Campus and Community Affairs (CCA) Committee works in conjunction with the Office of the Dean of Undergraduate Students (ODUS) to successfully manage and produce these events.

The goals of the Tigers in Town initiative are as follows:

To provide financial support for local businesses impacted by the pandemic

To create opportunities for students to engage in a social activity that allows for safe in person interaction, wellness, and connection
To make vendors’ offerings accessible to students regardless of financial status

To connect first-year students to the local community, many of whom are experiencing their first time on campus under these circumstances
To supplement campus dining options and provide a greater variety of food to students
To promote the public health and safety information listed in the Princeton Playbook

In order to successfully sponsor a Tigers in Town event for your prospective student group, you must complete the following steps:

Schedule an appointment with Mitchel Charles (ODUS Program Coordinator) in order to discuss your Tigers in Town event.
Confirm partner selection, date / time of the event, and approximate attendance with Mitchel Charles.
Secure funding (either through USG Projects Board or through your student organization’s current cash reserves) two weeks prior to the event that you are planning.
Complete event onboarding process including registering activity with CLEVER, creating the event on MyPrincetonU platform, and forwarding the QR code for your event to your business partner.
Collect feedback from your local business partner and your attendees, and participate in a feedback session with your CCA representative.

ODUS has compiled a number of contacts at local businesses for Tigers in Town. They are available at this document. Note: You must be logged into your Princeton account to access this list.

Creating Your Event for Tigers in Town

Go to your group’s page at my.princeton.edu.

Click the “Create” button in the top right corner. You will see the following options.

Note: you must be an “officer” of the group to create an event.

Click on “Event.” The following choices will appear. Select the “Tigers in Town” template; this will ensure that your pickup has all of the proper tags and important information about the Princeton Playbook/public health guidelines.

Begin by filling in the “What” Section. We recommend that the name include the name of the local business you are partnering with and that you put the name of the item being offered in the description. In the event type, be sure Tigers in Town” is selected and please do not delete the orange event tag.

Fill out the “Organizing Team” section by selecting an Event Coordinator. You can select one of your officers (make sure your officers are up to date for your group in the system!) as the event coordinators, and you have the option of adding other officers from your group as team members. You should also decide whether you want the entire team to be contacted by an attendee or just the Event Coordinator.

Enter the start time and end time for the pickup , and ensure that the time zone is correct.

Enter the location using the following settings. Be sure to enter the address so that your attendees can see a map showing the local business.

Upload a photo and/or flyer to add more information to your event page. We recommend uploading an image of the business as the event photo to help students recognize the local business if they are not familiar with it already.

You do not need to change anything in the Food Provided section. You may skip that section.

In the “Access & Display Options” setting, please select the below options. In order to uncheck the “Prevent users who are already registered to another event at the same time for registering to this event” you must contact Mitchel Charles, Program Coordinator in ODUS, at mitchelc@princeton.edu. If you are hosting an event for your group members only, please select the corresponding option instead of what is shown. If you select “Group members only”, only students listed as members of your group in the MyPrincetonU platform will be eligible to sign up. If you select this option, please ensure your group membership in MyPU is updated.

On the Registration section, click edit.

Fill out the registration details on the page that pops up.

-Important information:

a) The price of your item should be 0.

b) The minimum per order and maximum per order should be 1.

In the next section, list when you would like registration to begin and when you would like registration to end. We recommend closing registration at least 12 hours before the pickup begins so that you can notify the local business of how many people to expect.

For the attendance limit, select the maximum number of participants. This maximum should be agreed upon between your student group and the local business.

If you would like to, you can set up a reminder to registered attendees.

You can also personalize registration confirmation messages. However, you must keep the information about the Princeton Playbook (shown above) in the message no matter what.

Go down to the Feedback Request section. Here, you can set up an optional survey to collect feedback from the attendees up to 48 hours after the pickup concludes. In order to use this feature you must first develop a survey using the “Survey and Forms” module.

Keep these settings under “Attendance tracking options” the same.

Next, go to “Add more questions/slots” and scroll down until you see the following.

Select “Manage slots” and add the appropriate time slots. Generally, time slots of 15 minutes are recommended, but you may discuss the best way to create sign-up slots with your local business. The maximum number of people allowed to sign up, as per University rules in compliance with COVID-19 protocols, is 10 people for every 15 minutes.

Create the time slot, and ensure that you have entered a maximum (cap) per time slot.

Once you have created the first slot, you can then select “Create Next Timeslot” and the system will automatically create the next time slot. You will need to manually click this button for each additional time slot.

You are all set! You can press “Create Event” and a representative from ODUS will be in touch to approve your event. Make sure you have registered your event in CLEVER as well!
